About the Job:
The Grants Coordinator will support the Development team in identifying, securing, and managing funding from institutional donors. Reporting to the Senior Director of Institutional Partnerships and working closely with Development colleagues across the U.S. and East Africa, this role will contribute to both new business development and effective grants management. Key responsibilities include supporting institutional fundraising efforts, ensuring compliance and reporting across a diverse grants portfolio, and managing our institutional Salesforce database to drive efficiency and innovation in grants management systems. Success in this role will be defined by strong organization, attention to detail, and the ability to maintain seamless grant management processes that enable the team to deliver on ambitious fundraising goals.
Responsibilities
Institutional Fundraising & Prospect Research
- Identify and research new funding opportunities in line with Village Enterprise’s strategy.
- Conduct due diligence and background research on potential donors and prepare prospect profiles.
- Collaborate with the Development and Programs teams on proposal strategy and design.
- Support proposal development by coordinating inputs from programs, finance, and M&E teams, with growth opportunities to contribute directly to proposal narratives as experience develops.
- Track opportunities and ensure alignment with organizational fundraising priorities.
Grants Management and Compliance
- Support donor reporting processes, ensuring timely, high-quality submissions that meet compliance requirements.
- Coordinate across departments to collect, verify, and synthesize data for donor reports.
- Maintain accurate grant records and reporting calendars in Salesforce.
- Respond to donor information and communication requests in collaboration with senior team members.
- Support the development of a knowledge management system, organizing past proposals, reports, and donor intelligence to strengthen institutional memory and reduce reliance on individual knowledge.
Data and Systems Management
- Maintain up-to-date records of prospects and grants in Salesforce and linked Box folders.
- Support database accuracy and process improvement efforts with the Director of Development Operations.
- Develop tools and workflows to streamline grant management and reporting efficiency.
Cross-Org Collaboration
- Participate in Development and organization-wide meetings.
- Prepare summaries, project briefs, and materials for donor and partner engagement.
- Support special projects and initiatives as requested by Development leadership.

- Continuously sensitize program participants about possible risks of child abuse, sexual/financial exploitation, prevention, and response mechanisms.
- Ensure compliance with VE’s safeguarding policies and Code of Conduct in all programs, operations, and practices.
- Report any incident of child or adult safeguarding in program operations for appropriate action and follow-up
Requirements
Qualifications & Experience
- 2+ years of experience in institutional fundraising or grant management, including with bilateral, multilateral, or foundation donors.
- Bachelor’s degree in International Development, Nonprofit Management, or a related field.
- Excellent written communication, organizational, and time management skills.
- Proactive, detail-oriented, and eager to grow into increasing levels of proposal writing and donor engagement responsibility over time.
- Familiarity with Salesforce or other CRM systems.
- Experience in international development, particularly in sub-Saharan Africa, preferred.
- Interest in entrepreneurship, agriculture, or gender and youth equity a plus, but not required.
