Data Officer

Background:

The Urban Movement Innovation Fund (UMI Fund) is a donor collaborative, dedicated to strengthening the climate movement by supporting community-led and frontline organisations, grassroots initiatives, and innovative climate solutions. They connect funders and grantees, amplify impactful climate work, and drive collaboration across sectors.

UMI Fund has a dynamic team, located in several countries across four continents. Description:

The Data Officer role is critical to ensuring the integrity, security, and efficiency of UMI Fund’s data systems, which support climate justice initiatives worldwide. The Data Officer will maintain accurate records, safeguard sensitive information, and streamline operational workflows—enabling the team to focus on impactful grant making while upholding equity, justice, and security values.

Key responsibilities

Data Management & Integrity

  • Accurately enter and maintain data related to grants, grantees, donor reports, events, and CRM updates.
  • Proactively identify data discrepancies or automation errors in databases and report them to the Operations Manager.
  • Reconcile, when necessary, data held between different systems (e.g. database, GMS, CRM).
  • Assist the Operations Manager and IT Support team to audit and document systems usage, ensuring proper access controls and data hygiene.

Security & Compliance

  • Implement elements of the organization’s security management plan, including 1-on-1 staff trainings on secure data practices, as per organizational policy (e.g. external shares, document retention and deletion).
  • Ensure compliance with information security measures, in line with operational policy, for the safety of the organization’s partners and other stakeholders.

Operational Support

  • Purchase, track, and manage physical equipment (e.g. laptops, phones) and software subscriptions for staff, purchasing locally in staff members’ home countries.
  • Maintain an up-to-date inventory of software licenses, reporting to the Operations Manager on any issues.

Requirements:

Essential Skills & Experience:

Data Proficiency

  • 2+ years in data entry, database management, or CRM administration (e.g., Airtable, Salesforce).
  • Keen attention to detail—able to spot inconsistencies and enforce data standards.
  • Strong knowledge of Google Sheets and Excel.
  • Familiar with AI tools and technologies and able to effectively explore and leverage AI-powered resources (such as automation tools, data analysis platforms, content generation tools, or AI-enhanced productivity software) to enhance efficiency, support decision-making, and improve workflows.
  • A curiosity for emerging technologies and a proactive approach to testing and integrating AI tools into daily work are essential.

Security Mindset

  • Familiarity with cybersecurity best practices (e.g., VPNs, 2FA, secure file sharing).
  • Experience implementing security protocols in teams.

Operational Agility

  • Comfort managing logistics for remote teams (procurement, inventory, subscriptions).
  • Basic IT troubleshooting skills (e.g., onboarding staff to Slack, Zoom, or project tools).

Values Alignment

  • Commitment to climate justice, equity, and protecting vulnerable communities.
  • Ability to handle sensitive data with discretion.

Desirable Qualities:

  • Remote Collaboration: Experience working across time zones with asynchronous communication tools (e.g., Notion, Slack).
  • Automation Skills: Familiarity with workflow automation (e.g., Zapier, Airtable scripting).

Terms and conditions

Compensation will be determined according to location of hiring and the relevant salary range will be shared on request.

  • Official holidays according to the country where the contract has been signed. Local and personal cultural traditions and religious practices will be respected.
  • Annual work from home allowance equivalent to $1K USD (converted to local currency).
  • Life insurance.
  • Health care (includes vision and dental) covering family members, including legal partners, children below age of 18 and legal dependents as defined by the country of employment. The cost of the health plan or insurance may be shared between the UMI Fund and the staff member, depending on the conditions offered in the country of employment. This will be agreed at the time of hiring.
  • 20 working days annual paid vacations plus 10 days year-end break.
  • Access to Headspace.com
  • 2 days of work time each calendar year to participate in volunteer work with a non-profit organization.
  • Bereavement Leave: from 2 to 20 working days paid leave according to the level of relationship with the loved one.
  • Flexible work arrangements:
    • Regular working hours: 40 hours per week, 8-hour day between 9 am and 5 pm local time. To ensure collaboration and good communication, any changes to these hours must be agreed between staff and line manager in advance and noted in the calendar shared with the team.
    • Due to the geographical distribution of our team, it may be necessary to work non-regular hours in order to participate in meetings with those located in other time zones. UMI Fund always prioritizes the well-being of its staff and strongly recommends that no one works before 6am or after 9pm. If it is necessary in exceptional situations to work at these times, staff should offset the hours no later than two days after, to ensure time for rest.

 Local regulations will always prevail and will be observed to determine the final contract conditions.
