Position Summary
The Development Coordinator plays a key role in ICA’s Development Team, supporting relational fundraising through strong systems, thoughtful communication, and accessible resources. This role helps steward seed-level donors and contributes to program-aligned fundraising efforts that uplift Indigenous climate leadership.
Core responsibilities include managing ICA’s CRM system, coordinating a small donor portfolio, maintaining and updating fundraising tools, supporting grants and reporting, and coordinating logistics for donor events, workshops, and related initiatives.
This role is ideal for someone detail-oriented, collaborative, and committed to the behind-the-scenes work that sustains strategic, values-aligned donor engagement.
Key Responsibilities:
CRM & Database Management
- Lead the implementation, maintenance, and daily management of ICA’s CRM system for the development team
- Ensure donor records, communications, and gifts are tracked accurately and
- Reconcile donor data with financial records in collaboration with the Finance Team
- Create and manage templates and workflows to streamline development operations
Donor Stewardship
- Serve as the lead contact for a small portfolio of seed donors
- Draft and send gift acknowledgements, and donor correspondence
- Respond to donor inquiries regarding online donations, receipts, and general questions
- Support event coordination, RSVPs, and donor follow-up
- Assist in the preparation and packaging of donor-facing materials
- Support storytelling, recognition, and community engagement efforts that strengthen connections between donors and grassroots leaders or projects
Grants & Reporting Support
- Track deadlines and organize inputs for grant applications and reports
- Maintain the Library of Written Content and digital filing system for grant language
- Prepare background material and coordinate logistics to support the Development Manager in submitting grant proposals
- Assist with reporting requirements by preparing summaries and compiling documentation
Development Toolkit & Programmatic Engagement
- Maintain monthly updates to the Development Toolkit
- Help facilitate Development Toolkit sessions and support cross-pod learning
- Ensure timely RSVPs, reminders, and follow-ups are managed efficiently
- This role may expand to include coordination of new donor education and recognition initiatives as ICA’s development programming evolves
Administrative & Logistical Support
- Manage ICA’s Development email
- Help prepare ICA staff for conference attendance through research, outreach prep, and scheduling support
- Ensure donor-related documents are audit-ready and filed according to policy
- Support team-wide organization and coordination for development meetings, calendar planning, and reporting cycles
- Provide logistical support for donor-facing or community recognition initiatives, including event planning, communications, and documentation
Qualifications + Requirements:
- You secretly (or not-so-secretly) love admin work — organizing folders, updating spreadsheets, and checking things off your to-do list brings you joy. You’re the kind of person who actually enjoys a good data-cleaning session.
- 2+ years of experience in nonprofit fundraising, database management, or similar roles
- Demonstrated experience managing a CRM system (e.g., Keela, Raiser’s Edge, etc.)
- Strong administrative and coordination skills — you’re great at setting priorities, organizing emails, and creating timelines
- Proficient with Google Suite and comfortable learning new tools
- Passionate about ICA’s mission and values
- Must reside in Canada and have a working computer with reliable internet
- Member of an Indigenous community preferred
The position is full time and entails a 30-35 hours work week. However, some travel and evening/ weekend hours may be required. The successful candidate must be willing to be flexible and work hours required to meet ICA expectations. A Criminal Record Check along with Child and Adult Abuse Registry checks may be required conditions of employment. ICA can assist with this process if need be.
COMPENSATION: $55,000 – $68,000 pro-rated. This is a full-time position with benefits related to a year-long contract, with the possibility of extension.
