Background
The African Climate Foundation (ACF) is the first and only African-led climate change re-granting organisation on the continent. Through a combination of grant making, fellowships, transformational research, technical assistance, coalition building and advocacy the ACF seeks to support interventions at the nexus of climate change, and development that have the greatest potential to deliver long-term socio-economic transformation and inclusive development.
Purpose
Reporting to the Head of Programmes, the Programmes Administrator will provide executive support to the Head of Programmes and assist the broader Programmes Team with administrative and coordination tasks.
We’re seeking a highly organised, detail-oriented, and proactive Administrator as this role is essential for ensuring efficient operations across programme activities, supporting internal and external engagement, and strengthening the team’s capacity to deliver on strategic objectives.
Responsibilities include, but not limited to the following:
1. Executive Support to the Head of Programmes
- Manage the Head of Programmes’ calendar, schedule meetings and appointments, and coordinate travel logistics.
- Screen and prioritise emails, calls, and meeting requests, support time management and workflow efficiency.
- Prepare briefing materials, presentations, and written correspondence as required.
- Track key decisions and support timely follow-up on commitments and deadlines.
2. Programme Team Coordination & Diary Management
- Develop and maintain a centralised team diary aligned with internal workflows and external engagements.
- Coordinate logistics for team meetings, retreats, partner engagements, and external events.
- Maintain a live record of key deliverables, reporting deadlines, and donor-related obligations.
3. Meeting Administration
- Draft agendas and organise documentation for programme-related meetings.
- Take clear and accurate notes/minutes and track agreed-upon actions.
- Ensure follow-up and closure of action points, escalating where necessary.
4. General Administrative Support
- Maintain electronic filing systems and ensure version control of programme documents.
- Support procurement processes, logistical arrangements, and processing of administrative requests.
- Assist in formatting reports, correspondence, and presentations in line with ACF standards.
- Contribute to tracking budgets, supporting financial documentation, and liaising with operations teams as needed.
Requirements include but not limited to:
- Qualification in Business Administration, Office Management, Programme Support or a related field.
- At least 5 years of proven experience in programme administration, project support, or an executive support role
- Strong organisational and planning skills, with excellent attention to detail.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and digital collaboration tools (e.g. Zoom, MS Teams).
- Excellent written and verbal communication skills, including minute-taking and report drafting.
- Demonstrated ability to manage multiple priorities and meet tight deadlines in a dynamic environment.
- Discretion, integrity, and a proactive approach to problem-solving.
- Ability to work independently while contributing effectively to a remote and collaborative team.
Start date: Position available immediately
Location: ACF’s operational hub is in Cape Town, South Africa. Remote working will be considered for candidates based on the African continent.
Contract duration: 12 months (renewable based on mutual agreement)
