The African Climate Foundation (ACF) is the first and only African-led climate change re-granting organisation on the continent. Purpose
Reporting to the Head of Grants, the Training, Systems and Business Analyst Specialist will support the effective implementation, adoption, and continuous improvement of our grants management system (GivingData) and related business processes. This hybrid role combines systems administration, training, and business analysis functions to ensure that ACF’s grant making workflows are efficient, user-friendly, and aligned with strategic goals.
Responsibilities include but not limited to:
Systems Administration & Optimisation
- Serve as the lead administrator for GivingData and related platforms.
- Configure, test, and implement system enhancements and upgrades in collaboration with internal teams and platform providers.
- Monitor and troubleshoot system issues, coordinate solutions, and manage user access.
Business Process Analysis
- Analyse grants-related workflows across departments (Grants, Programs, MEL, Finance) and identify opportunities for streamlining.
- Gather business requirements for new features, reports, or process changes through consultations and workshops.
- Translate business needs into technical specifications and liaise with vendors or developers.
Project Management & Implementation Support
- Coordinate cross-departmental projects related to grants systems and process improvements, ensuring timelines, deliverables, and stakeholder inputs are managed effectively.
- Apply project management methodologies to plan, execute, and monitor system enhancements, training rollouts, and data initiatives.
Training & Capacity Building
- Design and deliver training sessions, onboarding programs, and refresher workshops for staff across ACF.
- Develop user guides, SOPs, quick-reference materials, and process maps to support system literacy.
- Conduct training needs assessments and tailor learning materials accordingly.
Reporting, Data Management & Insights
- Support teams in designing, maintaining, and interpreting dashboards, grant performance reports, and compliance trackers.
- Ensure data integrity across the grants management system by implementing data quality checks, consistent naming conventions, and documentation standards.
- Collaborate with MEL and Programmes teams to structure and manage data to support funder reporting, organisational learning, and decision-making.
- Promote best practices in data management, storage, and security in line with ACF’s data governance principles.
Cross-Team Engagement & Change Management
- Act as a liaison between technical teams and end-users, ensuring system developments are user-centred and responsive to real needs.
- Champion change management practices, including feedback loops, testing, and user adoption strategies during system rollouts or upgrades.
Minimum Requirements:
- Bachelor’s degree in Business Administration, Project Management, or Information Systems
- 5+ years of experience in systems training, business analysis, or grants operations—preferably in a philanthropy or NGO setting.
- Experience with grants management platforms (e.g., GivingData, Fluxx, Salesforce).
- Strong understanding of grant making processes, data management, and reporting cycles.
- Skilled in conducting process analysis, stakeholder consultations, and documenting user requirements.
- Demonstrated experience in data management, including maintaining data integrity, applying quality control measures, and supporting structured data use across teams.
- Excellent facilitation and communication skills; able to translate complex systems into accessible training.
- Proficiency in tools such as Excel, Power BI, or other data visualisation platforms is a plus.
- Comfortable working in cross-functional teams and managing competing priorities in a fast-paced environment.

Start date: Position available immediately
Location: Africa-based, with a time zone no more than 1 hour ahead or behind South Africa (UTC+2)
Contract duration: 12 months (renewable based on mutual agreement)
